Job Description for Deputy Academic Manager

Scholars School System is a project of UK CURRICULUM & ACCREDITATION BODY (UKCAB, a registered charity founded in 2006) having campuses across the United Kingdom, is looking for a Deputy Academic Manager across all campuses based in the Birmingham campus.

Scholars School System is a national independent higher education provider, offering world class education. Taught programmes, ranging from Foundation Year through to Level 7, delivered in partnership with institutions such as Leeds Trinity University. Over 5000 (UK and EU) learners have successfully completed their learning journey in the last five years with the current student population is over 3000.

Reports to: Academic Manager

Purpose

Scholars School System is seeking to appoint Deputy Academic Manager who will be responsible for liaising with Academic Leads, oversee submission rate and promptness. You will be required to coordinate with Academic officers and ensuring quality of academic programmes. You will make constant use of the CRM and Moodle platform. You will support and liaise with external partners and organisations. You be responsible for managing the day to day activities of the Academic department.

 
Responsibilities

·       Oversee submission rates and promptness.

·       Liaise with other campus’ Academic Leads.

·       Undertake training and development, where necessary, in areas relevant to main activities and responsibilities.

·       Coordinate with the Academics officers whilst reporting directly to Departmental Head and liaising with Deputy Academic Managers.

·       To oversee and manage the Academic Officers and ensure the quality of the FDA, Level 4 and Level 5 programmes in respect to submission rates, plagiarism or collusion.

·       Ensuring Academic Officers are daily going into the class to see if there are any issues, i.e. Moodle account problems and check the registers to see if there is a student who is potentially at risk due to repeated non-attendance and flag them to Student Support department as this usually relates to non-submissions and low-class engagement.

·       Oversee induction process and procedure. Assisting asst. academic manager, course lead and deputy academic manager on induction process.

·       Oversee Moodle resources are updated.

·       Oversee CRM notes and student record are updated.

·       Ensure all resources are up on the learning platforms and that deadlines and timetable are being correctly communicated to the students.

·       Identify any risk learners who may be struggling, i.e. non-submitters, high plagiarism, academic misconduct etc. and set up feedback to the team.

·       Support and liaise with external partners and organisations such as Leeds Trinity University.

·       Assisting Departmental head and Deputy Academic Manager in preparing necessary documents for external partner meetings.

·       Coordinate support for the academic programme and day to day running of courses.

·       Assist with break time supervision and rounding up students for class on time.

·       Assist in planning for large weekly/monthly intakes of new students.

·       Support with test/exam supervision.

·       Followed by giving assistance to the Programme Managers in the allocation of students to appropriate classes.

·       Oversee the Programme Managers with Teachers support.

·       Oversee/Help that teachers follow prescribed curricula and supplementary materials as directed by the programme.

·       Aid teachers to prepare thoroughly and effectively for all classes.

·       Facilitate and support the management of the teachers’ resources and ensuring physical resources are in good order.

·       Assist the Academic Manager/Registrar/departmental head in conducting effective introductions of new teachers and giving advice on procedures.

·       Monitor student attendance working with retention team.

·       Monitor the punctuality of teachers and students, arriving and leaving the classroom at the correct times.

·       Manage day-to-day activities of the Academics Department.

·       Assist classroom preparation upkeep.

·       Oversee/Respond to students’ enquiries regarding academic matters.

·       Administrative tasks such as producing registers, and updating notes on CRM and data reports.

·       Monitoring of Moodle resources.

·       Work with the department to ensure students are following the policies of the organisation, prevent strategy, ensuring safeguarding and health and safety of students like bullying, behaviour management and all rules are followed.

·       Prioritise own work within a general plan or schedule to meet deadlines and appropriate standards and assist other staff in planning for future work.

·       To perform ad hoc any additional duties assigned by your manager or any other manager.

 

Salary and Benefits

·       £28,000 - £32,000 per year based on experience

·        Basic hours are 9am to 6pm on site

·        Trips away from the office are often required 

·        Holiday entitlement is 28 days annual leave plus bank holidays

·        Up to £5k annual incentives pro-rata given quarterly on meeting KPIs upon successful probation period

·        3% annual increase per year on completion from your start date of service and on meeting KPIs
