Scholars School System is a project of UK CURRICULUM & ACCREDITATION BODY (UKCAB, a registered charity founded in 2006) having campuses across the United Kingdom is looking for a Clerk of Academic Board and Committee Secretary which includes Birmingham, Manchester, London, Bradford, Leicester based in Birmingham campus.

 

Scholars School System is a national independent higher education provider, offering world class education. Taught programmes delivered in partnership with Leeds Trinity University and Central Bedfordshire College and courses ranges from Foundation Year, Higher Nationals to Undergraduate Degrees. Over 5000 (UK and EU) learners have successfully completed their journey in last five years and current student population is around 3000.

Purpose

 

The Clerk to Academic Board and Committees’ Secretary will be accountable to the governing body, working effectively with the Chair of Board, and with the CEO and other governors. The Clerk will be responsible for advising the Academic Board (i.e. governing body to the institution) and supplementary committees, on constitutional and procedural matters, duties and powers and will work within the current legislative framework. He/she will secure the continuity of governing body and supporting committees’ business and observe confidentiality.

 

 

 

 

 

 

 

Responsibilities

 

·         Work effectively with the Chair and CEO before the governing body meeting, and Chairs of supplementary committees, to prepare a clear agenda which takes account of OFS and UKHEI DAP focussed on institutional improvement.

·         Encourage the Chairs and others to produce supporting papers on time.

·         Produce, collate and distribute committee agendas and papers so that recipients receive them at least seven clear days before each meeting.

·         Record the attendance at meetings and take appropriate action re absences;

·         advise the Academic Board on governance legislation and procedural matters where necessary before, during and after the meeting.

·         Support Chairs of supplementary committees on governance procedures, in order effectively to support the Academic Board.

·         Take notes of the governing body and supplementary committee meetings to prepare minutes, including indicating who is responsible for any agreed action

·         Record all decisions accurately and objectively with timescales for all committee actions

·         Send drafts to the Chair for amendment/approval

·         Copy and circulate the approved draft to all committee members, as appropriate, within timescales agreed

·         Advise absent committee members of the date of next meetings

·         Keep a file of signed minutes as an archive record

·         Liaise with Chairs, before each meeting, to receive an update on progress of actions agreed previously by the governing body

·         Following the approval of the minutes at the next meeting maintain an archive of approved minutes, and supporting papers, case study reports and other materials

·         Chair that part of the meeting at which the Chair is elected, if necessary.

Expertise in preparing, editing, and distributing agendas, minutes, and reports.
Strong interpersonal skills to interact effectively with board members, committee members, and other stakeholders.
Maintaining the highest level of confidentiality with sensitive information discussed in meetings.
Awareness of relevant laws, regulations, and best practices governing academic boards and committees.
